Privacy Policy

KinPod helps people build real relationships through real-world experiences. That only works if you trust us with your information. This policy explains, in plain language, what we collect, who can see it, and what you control.

The short version

  • We collect what we need to run KinPod — nothing built for advertising.
  • We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
  • KinPod does not continuously track your location. Check-ins are voluntary, manual, and time-limited.
  • We use service providers (like our hosting and database provider) to operate KinPod. That is processing, not selling.

Who this policy is for

KinPod is intended for adults. You must be at least 18 years old to create an account or use member features. We do not knowingly collect personal information from anyone under 18. If we learn that we have, we will delete the account and its data. If you believe a minor has created an account, contact us at hello@joinkinpod.com.

Information you give us

  • Account information. Your email address and password are handled by our authentication provider. Your email is used for sign-in, verification, and account recovery, and is not shown to other members.
  • Profile information. Display name, a handle (username), and optionally a photo, short bio, and "vibes" (interest tags). These are visible to other members according to your profile and pod settings.
  • Optional private profile details. Your general area (a city chosen from a list), country, time zone, and — if you choose to enter it — a birth year. These are stored privately and are not shown to other members. Birth year is optional; we do not require a date of birth to use KinPod.
  • Onboarding answers. The interests and preferences you select during onboarding, plus any free-text activity suggestion you submit.
  • Content you create. Messages in pods, communities, and day pods; reactions; pod and community descriptions; meetups and RSVPs; reflections; voice notes ("Voices") where that feature is available; gratitude notes you send; and images you upload.
  • Requests and forms. Spot suggestions, location requests, partner interest submissions, feedback, and waitlist signups.

Community, connection, and participation information

  • Memberships. The pods and communities you join, when you joined, and how you joined (for example, by invite link).
  • Connections. Connection requests you send or receive, and the connections you form. Connection records are visible only to the two people involved.
  • Check-ins and presence. When you choose to check in to a pod or community, we record that you checked in and when. See "Check-ins, presence, and location" below.
  • Journey and Life Events. KinPod records milestones from your own activity (joining a community, showing up, connecting with someone) to build your private Journey. Your Journey is visible only to you.
  • Moments of Impact. Gratitude notes are private between sender and recipient. If you choose to send anonymously, the recipient does not see your name; the record of who sent it still exists in our systems so we can operate and moderate the feature.

Check-ins, presence, and location

KinPod does not run background or continuous location tracking. There is no always-on location collection, no geofencing, and no location history built from your device.

  • Check-ins are manual and voluntary. You tap to check in. Nothing is recorded automatically.
  • A check-in records that you are present at a place — not where your device is. We store your user ID, the pod or community, and the time. We do not store your device's coordinates with a check-in.
  • Check-ins expire after 3 hours. After that, you no longer appear as "here now." You can also clear your check-in yourself at any time.
  • Device location, if you allow it, stays on your device. If you grant your browser's location permission, KinPod uses it once, in your browser, to pick the nearest city from a fixed list and to estimate distance to a place. The coordinates are cached in your browser's local storage. Only the city name (and country) is saved to your private profile.
  • Map coordinates belong to places, not people. Public location pods show the coordinates and address of public venues — parks, courts, cafés, coworking spaces — so people can find them. Those are place coordinates, never a member's location.

Expired check-in records are retained in our database as part of your participation history (for example, to build your Journey and to show organizers when their community was last active). They stop being visible as live presence when they expire.

Who can see what

  • Public location pods. Any signed-in member can see the place, its public details, how many people are checked in, upcoming meetups, and the members participating there — using public profile fields only (display name, handle, photo, bio, vibes). Never your email, and never your private profile details.
  • Private pods. Content, members, messages, and images are visible only to members of that pod.
  • Messages. Messages are visible to the members of the space where you post them.
  • Your Journey, private profile fields, and notification settings. Visible only to you.
  • KinPod staff. A small number of administrators can access data where necessary to operate, support, secure, and moderate the service.

Community Intelligence and organizer tools

Community organizers and partner businesses get tools to understand and care for their own community. Today those tools show:

  • Their community's member roster with public profile fields, join date, and how the member joined.
  • A last-activity timestamp per member, derived from that member's messages, RSVPs, or check-ins in that community.
  • Aggregate counts such as members, check-ins, meetup attendance, and community health indicators.
  • Voices (short reflections) shared to that community, which members may choose to submit anonymously.

Organizers cannot read your private messages, see your private profile details, see your email, see activity in other communities, or see your Journey. We do not give businesses access to private individual conversations.

Notifications

We send in-app notifications and, if you enable them, web push notifications. To deliver push notifications we store the push subscription your browser generates (an endpoint URL and encryption keys). You can turn notifications on or off, by category, in Settings → Notifications, and you can revoke permission in your browser at any time.

Device and technical information

Like any web service, our hosting and database providers process technical information such as IP address, browser type, and request logs to serve pages, prevent abuse, and enforce rate limits. We use a hashed form of IP address for rate limiting on a few public forms.

Analytics, cookies, and local storage

Our analytics are first-party only. We record a small set of product events (for example, that a call-to-action was viewed or a form was submitted), the page path, an A/B variant, and a random session identifier stored in your browser. These are written to our own database. We do not use Google Analytics, advertising pixels, marketing trackers, or third-party behavioral advertising SDKs.

Browser storage we use:

  • Your signed-in session (required for the app to work).
  • A random analytics session ID and A/B variant.
  • Your selected city, and — only if you granted permission — a cached copy of your approximate coordinates.
  • Onboarding answers and pending invite/join intents while you sign up.
  • Offline/PWA caching so KinPod loads reliably.

Service providers

We use a small number of providers to run KinPod. They process data on our instructions and are not permitted to use it for their own purposes:

  • Our cloud backend provider (database, authentication, file storage).
  • Our web hosting and edge network provider, including its bot-protection service on public forms.
  • Map tiles and one-time address geocoding from OpenStreetMap services (for public place coordinates only).
  • Your browser vendor's push service, when you enable push notifications.
  • Email delivery for account emails such as verification and password reset.

Automated and AI-assisted features

KinPod does not currently use AI models to generate content or to make decisions about members. Some features are automated in ordinary ways — reminders, milestone detection for your Journey, and rate limiting — but there is no automated decision-making that produces legal or similarly significant effects. If we add AI-assisted features, we will update this policy first.

How we use information

  • To provide KinPod: accounts, pods, communities, messages, check-ins, meetups, Journey, and gratitude.
  • To send notifications you've asked for.
  • To keep KinPod safe: preventing spam and abuse, rate limiting, moderation, and enforcing our Terms.
  • To understand and improve the product using aggregate, first-party product analytics.
  • To communicate with you about your account or important changes.

How we share information

We share information with other members as described in "Who can see what," with the service providers listed above, and where required by law or to protect the rights and safety of members and the public. We may share information in connection with a merger, acquisition, or sale of assets, in which case we will notify you.

We do not sell personal information, and we do not share it for cross-context behavioral advertising. KinPod's business is not built on monetizing members' personal data.

Security

Access to data is enforced at the database level with row-level security, so members can only read what they are entitled to read. Sensitive operations run on our servers with authorization checks and rate limits. Data is encrypted in transit. No system is perfectly secure, but we take these controls seriously and review them regularly.

Retention

We keep account and content data while your account is active. Messages you delete are removed from view and their content is cleared. Check-in and presence records stop being visible after 3 hours but the underlying participation history is retained. Analytics events, moderation records, and security logs are retained for a limited period for product, safety, and legal purposes.

Your choices and rights

  • Edit or remove most profile information at any time in your profile settings.
  • Control notifications, including push, per category in Settings.
  • Clear a check-in at any time, or simply let it expire.
  • Choose whether your public pods appear on your profile.
  • Send gratitude anonymously.
  • Delete your account yourself at any time in Settings → Account → Delete account. We ask you to confirm and to have signed in recently, then deletion runs immediately.
  • Request access to or correction of your personal information by emailing hello@joinkinpod.com.

What happens when you delete your account

Deleting your account is permanent and cannot be undone. Here is exactly what we do:

  • Deleted: your profile, private profile details, notification and onboarding settings, connections and follows, invitations, plans, check-ins, presence, saved locations, private reflections, gratitude you sent or received, and your uploaded images.
  • Anonymized: messages and public reflections other members are still part of stay in place but are no longer attributed to you — they show as “Deleted user”.
  • Retained: safety reports involving you, so we can protect other members. The identifying details for your side of those reports are removed 180 days after deletion.
  • Your sign-in account is deleted last, which ends every session on every device.

If you own a pod, you'll be asked to transfer it to another member or remove it first, so the community isn't left without an owner.

California privacy disclosures

If you are a California resident, you have the right to know what personal information we collect and how we use it, to request deletion or correction, and not to be discriminated against for exercising these rights. The categories we collect are described above: identifiers (email, account ID), account and profile information, commercial-free product usage information, internet activity information (first-party product analytics), and approximate location (a city you select, or one derived on your device from a location permission you grant).

We have not sold personal information and have not shared personal information for cross-context behavioral advertising. We do not knowingly collect personal information from anyone under 18, so we do not sell or share the personal information of minors. To exercise your rights, email hello@joinkinpod.com.

Changes to this policy

We will update this page when our practices change and revise the "last updated" date. For material changes we will give notice in the app. New features that involve shared physical presence will get their own privacy and safety review, and will be opt-in.
